As part of the Development Operations team, the Development Operations Administrator manages many day-to-day operational and administrative functions within the department. They proactively support planning, operational management, quality improvement, and departmental efficiencies. Their strategic vision will help IRD meet its departmental mission, goals, values and objectives
Manages IRD's IT projects and assets
o Manages S Drive file establishment, organization and quality control
o Oversees department's PC inventory, assigns equipment to staff, manages asset refreshes, and assists in equipment setup
Manages IRD's Policies & Procedures and Forms libraries
o Serves as the go-to resource regarding IRD policies and procedures and forms required to ensure efficient operations
o Ensures documents are up-to-date and takes initiative when updated policies and procedures and forms are needed and facilitates their development
o Serves as Administrator of the IRD Policy & Procedure Task Force
o Lead departmental trainings on new policies and forms and updates as appropriate
Manages and coordinates Kronos Timekeeping for IRD
Manages IRD's Electronic Check Presentment Process, ensuring timely entry and accurate deposits and tracking
Coordinates analytics tracking and reporting for meetings and planning purposes
o Budget (working in collaboration with and providing backup support to the Senior
Development Resource Analyst)
Serves as a liaison to UH's Facilities, Finance, Human Resources, and Supply Chain Departments.
Manages IRD's rosters, contact lists, org chart and staffing transition tracking to ensure all data is accurate and up-to-date
Manages a centralized invoicing system and serves as IRD's purchasing agent
Manages IRD's internal employee rewards and recognition programs & trains staff on how to optimize use of UH's system-wide recognition programs and tools
Manages IRD's networking database to ensure the talent pipeline is updated with top-tier candidates
In collaboration with the Senior Talent Management Officer, manages the IRD onboarding experience for new employees-reviews onboarding program, schedules required training sessions, follows up to ensure completion, and certifies completion with employee's supervisor
In collaboration with the Manager, Development Operations and Senior Talent Management Officer sets strategy and leads planning and execution of meetings, retreats, annual gatherings, monthly full-staff meetings, training classes and speakers
Manages employee termination process to ensure completion of all required steps and professional exit experience
Coordinates department goal setting and manages the file library

High School diploma required
Bachelor's degree preferred
Experience & Knowledge:
5+ years of related experience in an office management environment; Strong project management abilities; Demonstrated ability to develop programs that support the growth and operational effectiveness of individuals and teams; Familiarity with the fundraising industry is desirable; High level of professionalism and discretion required; Must be detail-oriented and organized, with good analytical and problem solving ability; Exceptional written and oral communication and organizational skills; Notable client service, communication, presentation and relationship building skills required.
Special Skills & Equipment Knowledge:
Full working knowledge of desktop computers and basic office software. Must also have proficiency in Microsoft Word, Excel, PowerPoint and Raiser's Edge software.
